Using Electronic Reminders to Control Contracts

Pam Aipperspach, manager of training and technology at Heritage Home Healthcare & Hospice, Albuquerque, N.M., addressed this topic during a session on document management at the recent McKesson Homecare and Hospice National Users’ Conference.

“At Heritage, we had problems with contracts auto-renewing so we couldn’t control reimbursement,” Aipperspach says. “Senior leaders wanted to know what contracts were up for renewal and who was primarily responsible for each.”

Agency contracts were scanned into a searchable database as part of a project with WorldView Ltd., the McKesson Homecare™ solution’s vertical partner for document management. All agency contracts now can be viewed on a single document management dashboard or segregated by responsible party. Notifications are customized with green/yellow/red flags as the renegotiation deadline nears.

Vendors love contracts that auto-renew, especially if payments increase in the new contract window. Aipperspach says the agency is saving money on its contracts by being more aware of the renewal deadlines and then working through the renewals in a deliberate manner.

On the insurance side, contract management can be used to monitor private carrier reimbursements, allowing users to view payments across carriers for comparison purposes.

Aipperspach sees applications for contract management on the HR and compliance sides of the agency, too. “I could see using it in HR to track when employee evaluations are due, although we currently do them all at one time,” Aipperspach says. “Tracking certifications for clinicians and nurses is another use, which would eliminate the spreadsheets that a lot of agencies use.”
